Email integration
Forward an email to your Tato Agent and it becomes part of your project. Tato reads it, analyzes it against your requirements and meeting record, and adds it to the project history — without you leaving your inbox.
Before you start: the email integration on Tato must be enabled for your organization. Ask your workspace admin to confirm that this feature is turned on, or reach out to support@tato.co.
How does it work?
A lot of what actually happens on a project happens in email — scope gets renegotiated in a reply chain, or a decision gets made in a thread.
The email integration closes this gap. You forward the email to your Tato Agent with instructions, and Tato ingests it as an activity on your project — the same way it ingests a meeting, a chat, or a document. From that point on, the content is searchable and available to everything else Tato does: chat, skills, reports, and your RAID log.
Sending an email to Tato
1. Forward or send the email to your Tato Agent
Forward an email or an entire thread to your Tato Agent's address (tato@yourcompanydomain). You can also compose a new email to Tato directly. Note: Tato must be in the To field (not cc).
2. Tell Tato what to do, and name the project
In the body of the email, write a short instruction. Always include the project name to reliably guide Tato on which project the email belongs to.
Ex: "Hey Tato, add this to the Reporting 3.0 project."
3. Tato ingests and analyzes it
Tato processes the email as an activity on the project and analyzes it against the project context — your captured requirements, decisions, and meeting record. You'll find it in the project's Activity view alongside your meetings and documents.
Best practices
Every email you forward adds context and information to your project, and more context is a good thing. You'll get the most out of it, though, by forwarding emails that cover something Tato doesn't already have — a discussion or decision that isn't captured in an existing activity, like a meeting.
Examples include:
- Decisions, approvals, or confirmations given over email
- Scope changes
- Write-ups of work on a project Tato was not part of, such as:
- Steering committee pre-reads
- Project plan updates
- Weekly status threads
Attachments
Attachments in emails do not automatically upload; you can upload them separately onto Tato.
Who can email Tato
- Anyone in your own organization can forward emails to your Tato Agent automatically.
- External senders — a partner, consultant, or systems integrator — need their domain added under allowed domains in Org settings. Ask your workspace admin.
Frequently asked questions
What address do I send to?
Your organization's Tato Agent — the same address you invite to meetings, typically tato@yourcompanydomain. Check with your workspace admin.
Do I have to write something in the body?
Yes. Tell Tato what to do and name the project. An email with no instruction produces a much weaker result and may be routed to the wrong project.
Can I just cc Tato on my live thread?
Not yet. Send it directly in the To line for now.
Can I forward a whole thread at once?
Yes, Tato reads the full history.
Where does the email show up?
As an activity on the project, in the Activity view, alongside meetings, chats, and documents.
What if I forward the same thread twice?
You'll get two activities. If you're forwarding an updated version of a thread, say so in the body: "This is an updated version of the Lockbox thread."
What languages are supported?
Tato handles English and French threads, including French forward prefixes (TR:).
