Inbox

The inbox collects the things in Tato that need your attention. Today, that means meetings Tato couldn't confidently assign to a project.

Tato tags most meetings to their project automatically. When it isn't sure, it doesn't guess. It puts the meeting in the inbox with its best suggestions and waits for someone who was there to confirm.

Why tagging matters

A meeting's project decides who can see it and what Tato can do with it. Until a meeting is tagged:

  • People on the project who weren't in the meeting can't see it.
  • The meeting isn't processed with the project's data, so it doesn't feed the project's chat, reports or automations.

A few seconds in the inbox keeps your project's record complete.

Open the inbox

Click Inbox in the sidebar. A dot on the icon means there are meetings to review, and the number shows how many are waiting in your favorite projects. If you have no favorite projects, the number counts every meeting in your inbox.

You see the inbox if you can edit at least one project. The meetings in it depend on your organization role:

  • Editors see meetings they took part in.
  • Admins and Owners see every meeting in the organization that isn't assigned to a project yet.

Favorites and all projects

The inbox has two tabs:

  • Favorites shows meetings where Tato suggests one of your favorite projects.
  • All projects shows everything else.

If you work across many projects, or you're an Admin who sees the whole organization, the All projects tab can get busy. Favorite the projects you're responsible for and work from the Favorites tab. The inbox opens on Favorites when it has something to review.

Tag a meeting

Each meeting shows its title, participants, date and time, and the projects Tato suggests. Suggested projects have a dashed purple outline.

  1. Check the meeting. Click the title to open the meeting in a new tab, or click the participant avatars to see who attended.
  2. Find out why Tato suggested a project. Hover a suggestion to see Tato's reasoning, for example which project members attended, which project keywords matched the title, or which client domain the attendees came from.
  3. Select every project that applies. Click a suggestion to add it. It turns solid purple. A meeting can belong to more than one project, so select all the right ones. Click the × on a selected project to remove it.
  4. Add a project Tato missed. If the right project isn't suggested, click Add project and search for it.
  5. Click Done. Tato tags the meeting to the projects you selected, and the meeting leaves your inbox. Suggestions you didn't select are rejected.

You need to be able to edit a project to tag a meeting to it.

Remove a keyword that caused a wrong suggestion

Sometimes Tato suggests a project because the meeting title matches one of that project's keywords. If you leave that suggestion unselected, and you can edit the project, Tato asks whether to remove the keyword so it stops causing the same wrong suggestion.

  • Click Remove "keyword" to delete it from the project.
  • Click Keep keyword if the keyword is still useful for other meetings.

Skip a meeting

When no project is selected, a Skip button appears next to Done. Tato asks you to confirm, then removes the meeting from the inbox without assigning it to a project.

We don't recommend skipping in most cases. A skipped meeting belongs to no project, so its content stays out of every project's chat, reports and automations, and only people with direct access, such as its participants, can see it. The recording is kept, and you can add a project later from the meeting page.

Only skip meetings that genuinely don't belong to any project, such as an internal one-to-one or a social call.

Tips for a quieter inbox

  • Favorite your projects so the meetings that matter to you are on their own tab.
  • Keep project keywords specific. Short, common words in project keywords cause wrong suggestions. Remove them when the inbox offers to.
  • Use project calendars. Meetings on a project calendar are tagged automatically and never reach the inbox.
